Microsoft Exchange

These instructions only apply to SMG Faculty, Staff, and Full Time Graduate Students.

Microsoft Exchange is a collaborative technology platform that not only provides email service, but also provides a host of collaborative features such as common calendar platform, shared task lists, and a central contacts repository.

The inclusion of Full Time graduate students on the Microsoft Exchange system is a direct result of a request made by the MBA council on behalf of the graduate student body in order to enhance the School of Managements emphasis on team learning and collaboration. This marks the first and currently only BU student accounts allowed on the UIS Microsoft Exchange system.


Setting Up your Exchange Account

Currently, all new BU email accounts are setup by default on the Office of Information Technologies (OIT) ACS email servers. Listed below are the steps necessary to switch to the University Information Systems (UIS) Microsoft Exchange Server followed by links to the directions on how to accomplish these steps.

Step 1: Activate your Active Directory account and create an Exchange mailbox via the WebNew online form.

Step 2: Redirect all your incoming email from the OIT server to the UIS server via the Email Forwarding System.

NOTE: If you had previously been forwarding your BU email out to an external email address, it will no longer apply after these directions are completed. Please see the forwarding instructions below if you want to re-enable your pre-existing forwarding settings.


Accessing your Exchange Account

Once you have setup your Exchange account you will then need to figure out how you would like to access the Exchange service and your BU email. While there are several options for accessing your email, ITS strongly encourages you to use either the Microsoft Outlook or Entourage client on your own computer to access your BU email as this will allow you to enjoy all the functionality that the Microsoft Exchange platform offers.

Exchange also supports Outlook Web Access (OWA) to allow you access to your email, calendar, task lists, and contact information from any computer in the world with an Internet Connection. This Service can be used along or in conjunction with your Outlook or Entourage configuration.

Forwarding Exchange Email

If you would like to have your BU email forwarded out to an external email address, also known as redirecting, you may do so by setting up a redirect rule in Outlook or Entourage. If you do not have access to either of these programs please contact the ITS Help Desk and we will assist you with the process of setting up the forwarding of your email. If you do have Outlook or Entourage, please complete the setup process detailed in the instructions listed above before you attempt to setup a rule to redirect your email.

Transferring Existing Email

You can transfer your email that is currently stored in your OIT ACS email account onto your computer and then into your Exchange mailbox. This will allow you to access your older emails in the same Inbox in which you are receiving your new emails.

Setting up Auto Archive

Your quota on the UIS Exchange server is 200MB. In order to manage your Inbox we encourage you to setup the Auto Archive feature in Outlook. This feature allows you to schedule regular intervals upon which older emails will be removed from the Exchange server and stored on your hard drive. The will still be accessible and searchable through the Outlook program, they just will no longer be taking up space on the server.

VPN

When using Outlook to connect to the Exchange server from off campus you will need to create a VPN connection to the BU network. For the latest information about BU's VPN service, please check the PCSC's VPN website at: http://www.bu.edu/pcsc/vpn/.
